Users Overview

The objective of this article is to provide a step-by-step guide on how to manage users in the Trak workspace efficiently.

 

Key Steps

  1. Accessing Users:
    • Users are organized in the main menu on the left side of the Trak workspace.
    • Internal users are listed at the top, followed by collaborators.
  2. Adding Users:
    • To add a new user, click on the plus button in the top left corner on the internal users page.
  3. Exporting Users:
    • Users can be exported into a JSON or CSV file using the export option.
  4. User Types:
    • There are four types of internal users: team members, managers, site admins, and track admins.
    • Advanced view shows the permissions associated with each user type.
  5. Filtering Users:
    • Users can be filtered based on information such as user stage and accounts they are associated with.
    • User stages include active, inactive, passive, and pending.
  6. User Details:
    • In the table view, user details such as profile image, username (email address), first name, last name, partnerships, active status, and last login are visible.
    • Partnership assignments can be viewed by hovering over the partnerships column.
  7. Collaborators:
    • Collaborators can only view partnerships that have been shared with them.
    • Collaborators are grouped based on fill path and have similar action buttons at the top.
  8. Viewing Collaborator Profiles:
    • Clicking on a collaborator profile opens up the user profile information on the left and partnerships assigned with activity log on the right.

  • Ensure that user permissions are set correctly to maintain data security.
  • Double-check user stages to accurately reflect their status within the workspace.
  • Be cautious when exporting user data to prevent unauthorized access.

  • Regularly review and update user information to keep the workspace organized.
  • Utilize filters to quickly find specific user groups or types.
  • Encourage users to set up their passwords promptly after receiving email invitations to avoid delays in accessing Trak.
