User Seats and License Limits
Every Trak workspace includes a set number of user seats based on its subscription plan. A seat is consumed whenever a user is activated or has a pending activation. In other words, anyone who can log in (or has been invited to) counts toward the limit.
Which users count toward the seat limit?
Only internal users count against the limit, including:
- Site Admins
- Managers
- Team Members
Collaborators do not count toward the seat limit, so you can invite as many collaborators as needed without affecting your available seats.
The following do not consume a seat:
- Deactivated users
- Users who have not yet been created
How many seats does my plan include?
The number of included seats depends on your subscription tier.
- Visit trak.io/pricing to view the seat limits for each plan.
- If your workspace requires additional seats, contact Trak to increase your limit.
What happens when I reach my seat limit?
When all available seats are in use:
- You can still create new users.
- Creating a user alone does not consume a seat.
- You cannot activate additional users until a seat becomes available.
- Existing active users are not affected and will not lose access.
When the limit has been reached, the following message will appear wherever user activation is available:
Workspace seat limit reached — deactivate a user or contact Trak to add seats.
This message may appear on:
- The Create User form
- A user's profile page
- The user actions menu
How do I free up a seat?
To make room for a new user:
- Deactivate an existing user who no longer needs access.
- The seat is released immediately upon deactivation.
- You can then activate another user using the newly available seat.
Enterprise plans
Enterprise and Enterprise+ plans do not enforce a hard seat limit by default.
- User activations are not blocked.
- Seat usage is monitored.
- Organizations that require a firm cap can contact Trak to configure a custom seat limit.
- Once configured, the limit is enforced in the same way as other plans.
