The objective of this article is to guide team members on effectively managing files and batches in Trak for presentations and collaboration with other users.

 

Key Steps

  1. Managing Files on Tasks:
    • Locate the files section in the task panel to view attached files.
    • Preview files by clicking on the thumbnail image.
    • Adjust file statuses by selecting approved, proof of performance, or clearing status.
    • Utilize the three dots to download, share, rename, add descriptions, remove, or delete files.
  2. Attaching Files to Tasks:
    • Upload files directly to a task by clicking the attachment button.
    • Attach uploaded files to specific tasks within a partnership.
    • Manage and adjust file statuses as needed.
  3. Exporting Files:
    • Export all files in a partnership by clicking the download files icon.
    • Filter and sort files based on file types, sizes, and other criteria.
  4. Managing Batches:
    • Access the files section to view all files in the workspace.
    • Use batch uploader to upload multiple files for future attachment to tasks.
    • Edit batch files by renaming, duplicating, and assigning to specific partnerships and tasks.
    • Ensure all files in a batch are attached to partnerships to mark the batch as complete.

Cautionary Notes

  • Be cautious when deleting files as it will remove them from all locations within the workspace.
  • Ensure all batch files are attached to partnerships to avoid incomplete tasks.
